What data we collect and why
We only collect personal data that is necessary for running the association and communicating with members, event participants, and newsletter subscribers. This includes:
- Name, email address, phone number, and company name — collected when you register for membership, an event, or our newsletter
- Website usage data — collected anonymously via cookies to understand how the site is used
We use this data to administer memberships, send newsletters and activity reminders, organise events, and respond to enquiries. We do not use it for any other purpose.
Legal basis
We process your data on the following bases under the GDPR:
- Contract — to fulfil membership agreements and event registrations
- Legitimate interest — to communicate relevant news, activities, and intelligence to members and subscribers
- Consent — for newsletter subscriptions, which you can withdraw at any time
Who we share data with
We do not sell or share your personal data with third parties for commercial purposes. We use the following service providers to operate our activities:
- Mailchimp (Intuit Inc.) — for sending newsletters and activity reminders
- Our website hosting provider — for operating this website
These providers are bound by data processing agreements and may only use your data to provide their services to us.
How long we keep your data
We retain membership and contact data for as long as the membership or relationship is active, and for up to three years after it ends. Newsletter subscriber data is kept until you unsubscribe. You can request deletion at any time.
Cookies
This website uses cookies to understand how visitors use the site (analytics) and to remember language preferences. We do not use cookies for advertising or tracking across other websites. You can control cookie settings in your browser at any time.
Your rights
Under the GDPR, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data
- Object to or restrict how we process your data
- Withdraw consent for newsletter subscriptions at any time
- Lodge a complaint with the Danish Data Protection Authority (Datatilsynet) at datatilsynet.dk

Changes to this policy
We may update this policy occasionally. The date at the top of this page shows when it was last revised. Significant changes will be communicated to members directly.
Two things to note: if DFA uses Google Analytics, that needs to be mentioned explicitly under Cookies and in the data sharing section. And if the website has a cookie consent banner, make sure it actually blocks analytics cookies until consent is given — that is the most common GDPR gap on small association websites.
